Peak Performers

2008 is upon us, so why not make a few decisions right now about how you mange your day? Make no mistake – you are being asked to perform at peak performance levels nearly 24/7, with the on demand requests and late night BlackBerry-ing.

I have a theory. And it goes something like this – the harder you work, the less productive you are. There is a difference between efficiency and effectiveness. One can work at a highly efficient pace, but is s/he being effective? Effectiveness gets us closer to our goals; efficiency is performing a given task (whether important or not). Being efficient without regard to effectiveness is often status quo. Doing something unimportant well does not make it important. Further, requiring a lot of time does not make a task important.

What are the habits of peak performers? I informally polled some of the top executives and entrepreneurs in the city and here are some peak performance traits that allow them to be highly effective. You can implement these immediately:

Eliminate: Delete things from your life that are time wasters. This includes non-effective work tasks that others can do and tasks that make you feel efficient, but are actually not effective.

Automate: Put processes in place that automate and funnel tasks. Delegate items such as managing your calendar and your personal contact database to your assistant. If you don’t have one, check out the many outsourcing firms that specialize in this area. Create a list at the beginning of each day with your two most important and effective goals to accomplish. Don’t let anyone get in your way, i.e. No distractions.

Batch: there’s a reason why well-run team meetings can be effective. It allows a manager to put all key issues on the table once weekly, and then prioritize and delegate. This is the idea of batching – doing something one time each week (or month) that allows you to prioritize and delegate, thus freeing up your time to take on your goals. Do the same thing with other aspects of your work life. Batch items such as phone calls and checking your LinkedIn or Facebook accounts ONCE WEEKLY. Don’t log on 30 times per week. It’s a time waster. Is something so important that it deserves to distract you from your most important goals? Same goes for email. Decide a time, each day, that you will reply to e-mails and stick to your promise. Don’t pick up the BlackBerry at other times. Have you noticed that the people you want to reach most are often not reachable by email? There’s a reason for this. They’ve realized that email is a time waster, unless batched on a clear schedule.

Noise Reduction: Practice reducing external information sources that are time wasters. This mainly involves flushing your mind of busy noise, such as watching TV news to start and end your day, checking online information sources constantly, and taking calls from people with non-specific requests. Ask them to come back to you with a specific request and how you can best be of help. Tell them to put it in writing, in email, and reply at a time that works for you.

And, a few more:
• Filling every minute of every day is fool’s game. Lack of time is actually lack of priorities.
• Results by volume is not effective.
• Effective results, not dedication, is what we want to measure.
• Choose an effective goal and work towards it.
